Team Structure

As the Front of House Receptionist, you will be responsible for providing an exceptional client experience through the delivery of the position holders main duties. The FOH Receptionist role is very client interactive and therefore needs the position holder to be able to provide outstanding customer service, deliver consistent high standards in operational delivery and ability to anticipate what is needed to ensure that the client requirements are met.

Main Responsibilities

  • To meet and greet all visitors approaching the desk in a friendly and professional way.
  • Contact hosts to make them aware of their guest arrival and keep visitors updated on waiting times.
  • Escorting guests to appropriate meeting rooms or lobby area as necessary.
  • Meeting room management including bookings, amendments and cancellations.
  • Undertake and supervise meeting room set-up for all on-site meetings and functions. This includes room layout, Audio-visual & IT set-up assistance (i.e., network connectivity) if required.
  • Ensure all incoming calls for the client business are always handled efficiently and courteously.
  • Schedule all couriers and deliveries accordingly.
  • Book taxi and local/international couriers as and when required.
  • Placing orders through suppliers and conducting regular stock check.
  • Work closely with the all department members on site to ensure seamless service to the client and offer support and assistance.
  • Conduct regular walkaround of the reception area and client floor to ensure a welcoming, safe and inviting environment is received, reporting all issues to the relevant department immediately.
  • Offering refreshments to all guests on arrival and keeping refreshment points tidy and well stocked.
  • Work closely with Client events teams to assist in event coordination, visitor management and space booking.
  • Ensure all emails are responded in a professional, accurate and timely manner.
  • Anticipate guest needs and create a welcoming atmosphere.
  • Managing the cloakroom duties and ensuring safe storage of guest items.
  • Issuing access passes when required and adhering to Security policies.
  • Perform other duties as assigned by your manager or client.
  • Take reasonable care of your own health and safety and that of others, ensuring you comply with all Health & Safety procedures.

Attributes/Skills Required

The successful candidate will have experience working as a receptionist in busy corporate office environment and the ability to work with senior individuals professionally.

  • Have exemplary organisation and communication skills with excellent attention to detail.
  • The ability to work in a fast-paced environment in which you can maintain an exceptional level of service whilst managing multiple tasks.
  • Able to communicate professional, concise and accurate information in written and verbal formats.
  • Strong Microsoft Office skills particularly Outlook, Excel and Powerpoint.
  • Previous experience working with a visitor management or space scheduling system.
  • Ability to interact professionally with people at all levels, including senior leadership and external clients.
  • Immaculate personal presentation aligned with corporate standards.
  • Discretion and confidentiality when handling sensitive information.
  • The successful candidate must be fluent in Spanish and possess a high level of proficiency in business English (spoken and written).
